City of Westminster Guide Lecturers Association (“CWGLA”)
We are a not-for-profit unincorporated association of members who are qualified walking tour guides in the City of Westminster. Our members are self-employed, and are themselves subject to compliance with GDPR for the purposes of their own businesses.
CWGLA is run by a committee of its members, for the purposes, primarily, of assisting our members in the promotion, and maintenance of standards, of walking tours and lectures in and about Westminster. We process information which is necessary:-
- to establish or maintain membership and support; or
- to provide or administer activities for our members.
We do not hold information about individuals for any other purpose, and we only hold such personal information as is necessary.
This privacy notice relating to the provision and administration of activities for our members in the provision of walking tours or lectures to the general public was passed by our committee on 27 May 2024.

The type of personal information we collect
We currently collect and process the following information:
- Names of customers who have booked on walking tours organised through us, email address and in some cases mobile telephone number
- Information on the walking tour they have been, or will be, on; and
- Whether they have given consent to be on our mailing list.
- Names of potential customers or other parties interested in walking tours offered through us or the training to be a Westminster Guide provided by our Course provider, email address and details of consent obtained from them to receive updates from us.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you for one of the following reasons:
- to book on a walking tour through us;
- to be notified of future walking tours and other activities organised by us; or
- to be notified of details of the training to be a Westminster guide provided by our course provider.
We use the information that you have given us in order to manage your booking and notify you of delays, changes or cancellations of that particular walk, and to let you know about future walks and other events or training courses which might be of interest to you.
We use third party vendors including but not limited to Mailchimp and Eventbrite to store data and send mail out, and to process bookings respectively, in accordance with our instructions and the limitations in our contracts with them. We do not share this information with anyone else.
Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing this information are:
(a) Your consent. You are able to remove your consent at any time. You can do this by contacting secretary@westminsterguides.org.uk
(b) We have a contractual obligation.
How we store your personal information
Your information is securely stored.
We keep information in connection with walking tours booked through us for 6 years after the date of the walking tour in question, in case of legal claims within the legal Limitation Period. We will then dispose of your information by deleting all references to your booking on all records we hold in relation to that walking tour.
We review information you have given us for the purposes of our external mailing lists every 2 years, and will seek renewed consent if we have not received any interaction from you during that period. In those circumstances, in the absence of renewed consent, your information will be deleted from our external mailing list and all other records relating to it.
Your data protection rights
Under data protection law, you have rights including:
Your right of access – You have the right to ask us for copies of your personal information.
Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

If you have any concerns about our use of your personal information, you can make a complaint to us at secretary@westminsterguides.org.uk.
You can also complain to the ICO if you are unhappy with how we have used your data.
